Policies, terms and legal notices

Please read the sections below to ensure that you understand our policies, terms, and conditions for the conference.

Registration policies, terms and conditions

In consideration of being allowed to participate in and attend the Horizons conference(s) on December 1-3, 2023 and May 8-11, 2024, (“Conference” or “the Event”) promoted by Horizons PBC (“Horizons”), you and any invitees agree to comply with any and all rules, regulations, terms, and conditions of The Event, including but not limited to the following.


These policies, terms, and conditions, as well as the line up, schedule, prices, and venues are subject to change without notice or refund.

Refunds.


All registrations made at this time are final sales and non-refundable. Refunds are the sole discretion of the Conference.


Safety precautions.

Horizons is being produced in accordance with the safety requirements and best practices set by federal, state, and city health authorities, as well as our venues.


Conference reserves the right to decline entry or eject any person without refund who, at its sole discretion, is not in compliance with safety-related requirements or instructions.


Transfers.


If you have a Conference registration but cannot attend, transfer requests to another qualified individual can be made until five business days prior to the first date of the Conference.


Transfer requests for classes may require approval of instructor to ensure qualification.


Program is subject to change.


Conference venues, lineups, pricing, and schedules are subject to change without refund or notice.


One registration, one person.


Conference registration of both live and virtual events are for a single named individual, and cannot be used by or shared with other individuals or persons unless the registration transfer is approved by Horizons.


No solicitation.


Attendees may not engage in commercial or promotional activities. Brand ambassadors, vendors, flyer distributors, and others who are engaged in commercial activity may be ejected without refund.


Professional decorum and code of conduct.


Horizons strives to maintain a professional atmosphere at its events. All attendees must comply with its Code of Conduct. Attendees who are determined by Conference, at its sole discretion, to have violated the Code of Conduct may be denied entry or ejected without refund.


Children.


All children who require their own seat must have their own paid registration. Children under 16 must be attended at all times by a legal parent or guardian. Children (of all ages, including 18+) who cannot remain silent must leave the auditorium.


Limited seating and standing room.


With the exception of registrations that clearly indicated reserved seating, seating is first-come, first-served, and not guaranteed unless otherwise noted. Programs may go to standing room unless otherwise noted. Standing or sitting in emergency egress corridors is prohibited.


CE/CME credits.


Due to changes in CE / CME requirements and providers, Horizons will not be offering CE / CME credits for any workshops or presentations.



Accessibility and ADA support.


Please see the FAQ for general details about ADA and accessibility at our venues. If you have additional needs or would like clarification, please let us know upon registration so that we can properly support you. In general, our venues are ADA compliant, but due to their historic nature, preparation is often helpful.


Badges and credentials are non-replaceable.


Conference badges are non-replaceable credentials and are forfeited without refund if lost. We will not provide replacement credentials. Please treat credentials the same as cash. Attendees without valid, undamaged credentials may be denied entry or ejected without refund.


Rain or shine.


The Conference is a rain or shine event, and no refunds will be provided due to weather events.


No outside food or beverage.


It is prohibited to bring outside food and beverage other than water to the Conference unless otherwise indicated in writing.


Prohibited items.


In addition to outside food and beverages, prohibited items include large bags or packs, chairs, flags or totems, selfie-sticks, drones, flyers, giveaways, or promotional items, weapons of any kind, any substance prohibited by law, or any other item that the Event, at its sole discretion, believes will negatively impact the aesthetics, enjoyment, safety, commerce, or production of the event.


Right to search.


The Event reserves the right to search attendees and their bags upon entry for prohibited items.


Resale prohibited.


Resale of registrations or credentials is prohibited unless authorized by the Conference through an approved transfer request. Unauthorized registrations or credentials that are determined to have been resold may be cancelled without refund.


Non-human animals.


Attendees may not bring pets or other non-human animals into the Event, other than licensed service animals with government-issued identification. Emotional or health support animals that lack government-issued licensed service animal identification will be denied entry.


Photo, video, and likeness usage.


Attendees grant Horizons (and its designees) the right to include attendee’s image, likeness, actions, and statements in any live or recorded audio, video, film, webcast, stream, or other transmission, exhibition, simulcast, or reproduction made of, or at, the Event in any medium or context for any purpose, including commercial or promotional purposes, without further authorization or otherwise.


Audience photography, videographer, and recording.


Audience photography and videography using phones are bound and limited by the Conference’s recording policy (below). Horizons reserves the right to use any photos or video from the event that is posted publicly, and attendees agree to grant Conference, Horizons, and its producers a worldwide royalty-free perpetual license to exploit their photos and videos for commercial purposes.


Right to refuse entry and eject attendees.


The Event reserves the right to refuse admission to or eject any person, at Event’s sole discretion, whose conduct is disorderly, disruptive, disrespectful, or who fails to follow the Event’s rules or directions, or whose language is vulgar or abusive, or who is visibly intoxicated.


Technical requirements and support for virtual events.


For virtual events, we have very limited ability to offer technical support. Technical questions should be addressed to the virtual event platform service provider well in advance of the conference. Attendees of virtual events are responsible for ensuring that they have a computer system that can meet the requirements of the class.


Privacy of personal information.


Personal information is governed by our data + privacy policy, which we may update from time to time.


Covid-19 requirements.


As of May 11, 2023, the federal government has declared an end to the COVID-19 public health emergency. We do not anticipate mask, testing or vaccine requirements.


However, to ensure the safety of all guests, we ask that those with symptoms of COVID-19 abstain from attending.


Assumption of risk and waiver of liability.


ATTENDEES EXPRESSLY ASSUMES ALL RISK AND DANGER ARISING FROM OR INCIDENTAL TO THE EVENT FOR WHICH THE TICKET IS ISSUED, WHETHER SUCH RISKS OCCUR PRIOR TO, DURING, OR SUBSEQUENT TO THE ACTUAL EVENT THE HOLDER EXPRESSLY RELEASES THE EVENT FACILITY, MANAGEMENT, PROMOTERS, PARTICIPANTS, PERFORMERS, ARTISTS, AND THE TICKETING AGENCY AND/OR TICKETING SERVICES PROVIDER (collectively “MANAGEMENT”) AND ALL OF THEIR OWNERS, OFFICERS, DIRECTORS, EMPLOYEES, CONTRACTORS, REPRESENTATIVES, AND AGENTS, FROM ANY AND ALL CLAIMS THAT THE HOLDER HAS OR MAY HAVE THAT ARISE FROM OR ARE INCIDENTAL TO THE EVENT, INCLUDING ANY CLAIMS ARISING OUT OF THE NEGLIGENCE OF MANAGEMENT OR MANAGEMENT’S OWNERS, OFFICERS, DIRECTORS, EMPLOYEES, CONTRACTORS, REPRESENTATIVES, OR AGENTS.



Press, Photography, Videography and Recording Policy

Press requests.


Please contact us in advance with requests for press passes, recording requests, or access to speakers. We may approve or decline these requests at our discretion. Approved press are bound to our media agreement, as well as other general conference policies.


Professional recording.


Professional quality cameras and other recording devices must be registered in advance and the use of recordings is limited by our media agreement.


Blanket photo and video release.


Please be aware that by attending any Horizons program, you consent to your voice, likeness, including information publicly displayed on your badge, being used, without compensation, in films, photographs, tapes for for exploitation in any and all media, whether now known or hereafter devised, for eternity, and you release Horizons Media, Inc., its successors, assigns, and licensees from any liability whatsoever of any nature.


No photography or recording at classes.


No audience photography, videography, or audio recording is permitted at professional education classes.


Amateur photography and videography.


Unless otherwise noted or announced, conference attendees may photograph or briefly capture video (clips of 15 seconds or less) with smartphones or other similar non-professional equipment during non-class programs, so long as:


a) the current speaker or speakers have not requested otherwise;


b) it is focused on the speakers or general conference and not individual attendee;


c) that the photography does not interfere with the enjoyment of the conference by other attendees; or


d)  the Conference or speakers do not object to recording for any reason that it may determine.


Breach of recording policies is grounds for ejection without warning.


Blackouts.


Speakers may request that their presentations not be recorded, and all guests and members of the press must comply.


Decorum and code of conduct

Professional decorum.


Horizons strives to maintain a professional atmosphere at its events, and invites the community to help us uphold professional standards of conduct.


Code of conduct and safer spaces policy.

Non-solicitation.


Commercial solicitation or distribution of flyers, brochures, advertisements, etc. without prior written approval is prohibited, regardless of good intentions or noble causes.


Privacy policy

We only use, process, and store your personal information for the purpose of planning, operating, and marketing Horizons programs.


Your information may be used, processed, and stored on various IT platforms and accessed by Horizons employees, vendors, and contractors for this purposes for the purposes described above.


We do not share, sell, or lease your personal information to third parties for other purposes, unless required by law. (At the time of this update, we have never received a legal request for personal information.)
